How to get Affiliated

Affiliating with Arc

New Clubs

Starting a new Club is an exciting venture and we hope that Arc can help make your experience all the more fun and rewarding. Of course, there are some administrative details that you need to make sure you cover in order to become Arc affiliated so make sure you read the information below. You should also check out the Clubs Handbook and the Clubs Procedures for more details.

Existing Clubs

All Clubs need to re-affiliate every 12 months to make sure that you're still complying with Arc's Clubs policies, so if you're on the Executive it's your responsibility to make sure your Club ticks all the boxes to stay affiliated with Arc. This section should give you a guide to re-affiliating your existing Club, but you should also make sure you read the Clubs Handbook and understand the Clubs Procedures.

I wanna start a new Club! What do I have to do?

  1. Think of an idea for a club. Make it something that you're passionate about; something enriching, rewarding, intellectually stimulating or just plain fun, as long as you think other UNSW students will be interested in joining.

  2. Check that a Club with those aims and objectives doesn't already exist.
  3. Find UNSW students that might be interested in your Club. You need at least 5 UNSW students to be part of your Club, so gather all your friends or get out there and meet some new people who share your interests.

  4. Plan a meeting time and location. Email all your newfound friends and clubs@arc.unsw.edu.au AT LEAST SEVEN (7) DAYS prior to the meeting.

    • Get a room! And don't forget to book it - grab a form here.
  5. Check out the Affiliation Pack so you know what to expect -make sure you get the version for new Clubs.
  6. Have your first meeting (officially known as the Annual General Meeting or AGM). Make sure you follow the right procedures or you'll have to do it all again (lame!); they're all laid out in the Affiliation Packs, but here's a brief run-down:

    • Democratically elect your Executive (who must all be Arc members)
    • Democratically adopt a constitution for your Club that meets Arc's minimum requirements (you can use Arc's model constitution, included in the Affiliation Pack). Take minutes of all the decisions made (sample in the Affiliation Pack).
  7. Complete your Affiliation Pack. There are quite a few things to fill out, so make sure you follow all the instructions,fill in all the blanks and tick all the boxes. We won't accept incomplete applications as it can take ages to sort things out and all we really want to do is help Clubs run awesome events for students.

  8. Hand over the goods! Drop your completed affiliation pack at the Student Development Office - we're in the Roundhouse, up on Level 1.

  9. You'll also have to email some stuff to us at clubs@arc.unsw.edu.au, but you can always do that using the computers in our office (also known as the Clubs Resource Room):

    • An Excel version of your Executive list and your full Club membership list
    • A Word version of your Club's constitution (unless you're using the Arc Model)
  10. Leave it with us. Your application has to be considered by the Student Development Committee (SDC), who meet once a month, so hopefully you won't be waiting too long, but it's probably a good idea to ask us (clubs@arc.unsw.edu.au) when the next meeting is so you don't miss the deadline by a hair and have to wait a whole month. Once they've discussed your application, they'll let you know if you're ready to become an Arc-affiliated Club or if they need more details from you.

  11. Once you're affiliated, we'll email you a bank letter confirming your affiliation status that means you can set up a fee-free Club account at any bank on campus.

  12. Start doing stuff - yeah! And if you ever need a hand or some friendly advice come see us in the Student Development Office.

My Club is already affiliated with Arc, how do I keep it that way?

  1. Pick up a Re-Affiliation Pack. Make sure you get the one that's right for your Club:
  2. Plan a meeting time and location. Email all your Club friends and clubs@arc.unsw.edu.au AT LEAST SEVEN (7) DAYS prior to the meeting.

  3. Get a room! And don't forget to book it - grab a form here.
  4. Have your meeting (officially known as the Annual General Meeting or AGM)
    • Get everyone's autograph on your AGM Attendance List

    • Democratically elect your Executive (who must all be Arc members)
    • Take minutes detailing all of the decisions made
    • If you wanna change your constitution, your members have to vote on the amendments. Make sure to give notice of these proposed changes in the same manner as giving notice of the meeting.

  5. Complete the Re-Affiliation Pack. There are quite a few things to fill out, so make sure you follow all the instructions, fill in all the blanks and tick all the boxes. We won't accept incomplete applications because it can take ages to sort things out and all we really want to do is help Clubs run awesome events for students.

  8. As soon as you hand in your Re-Affiliation Pack you'll get provisional affiliation, which means you can continue using all our Clubs resources.

  9. Once your re-affiliation is official we'll let you know via email. We'll also send you a bank letter confirming your affiliation so you can update the signatories on your bank account.

  10. Keep doing your thing! And if you ever need a hand or some friendly advice come see us in the Student Development Office.
