How to Apply for Reaffiliation

What is Reaffiliation?

All Clubs are required to re-affiliate with Arc every twelve (12) months to continue to access to Arc’s support, resources, and funding. Clubs are required to submit a completed Re-affiliation Application to Arc before your affiliation expires.

Arc has mandatory periods for Clubs to adhere to for all stages of re-affiliation. The dates are as follows:

  • Clubs’ AGM period is Trimester 3 Week 1-4
  • The submission deadline for re-affiliation documents to be submitted by the end of Trimester 3 Week 4

Host Your Annual General Meeting

Step 1 - Create the required documents

Before you can submit for Reaffilation, you must host an Annual General Meeting. This is where most of your Reaffiliation documentation will be created such as your AGM Minutes and New Executive Details.

Submit Your Documents

Step 2 - Submit Your Documents to Rubric

The ONLY way to submit your Reaffiliation documents is through Rubric.

Any member of the Club's Executive can submit your reaffiliation.

Step 3 - Navigate to Your Clubs Page

Click on the profile icon and switch to your Club page:

Then click on the link for your Club’s account to enter your Club’s page.

Step 4 - Start Your Reaffiliation Application

Once on your Clubs page, you should see a button for Forms.

Click on Forms


Step 5 - Complete Your Application!

In order to Reaffiliate there are several documents you must submit to Arc.

These include:

  • Annual General Meeting Minutes
  • Annual General Meeting Attendance list
  • 2026 Executives Contact Details
  • Signed Affiliation Agreement
  • Updated Constitution
  • Income & Expenditure Spreadsheet
  • Bank Statements from your 2024 AGM to this 2025 AGM

Step 6 - Submit Your Application

You’re all done!!

Congratulations on continuing your Club’s legacy for another year.

From here, the Arc Clubs Team will review your Application and will notify you if there are more details required or if it has been approved.

If there any issues with your Reaffiliation application, the Clubs team will email your Club Email Address following up for more information if required. If none is required, you’re Club will be Reaffiliated for the next year.
